Priced on the page · No sales call · No per-attendee fees

Conference management, built for the enterprise crowd. Minus the enterprise contract.

You run the annual conference for an association, a university department, a community of practice. The enterprise platforms want $20,000 a year, a per-attendee fee, and a sales call before they'll even show you a price. You need the operations half — program, speakers, sponsors, budget, the day itself — done properly. That's this.

Who this is for

The enterprise platforms call you "too small." We call you the customer.

The enterprise platforms price by per-registrant fees and a sales call before you see a number — built for a full-time events team, not the association coordinator, the department manager, or the volunteer chair running a 300-person annual. That's exactly who this plankit was built for. Productive the first afternoon, priced on the website.

The double-booking catcher

Two sessions in one room? A track overlapping itself across three days? The agenda engine flags it before your attendees do. The $600-a-year agenda tools don't even check.

Speakers who confirm themselves

Every speaker linked to their session, unconfirmed keynotes flagged on your overview — plus the honorarium, the AV rider and the travel, all on one card. And a self-serve page where they confirm and drop their bio and slides.

Sponsor money, promised vs received

Tiers, booths, benefits — and the receivables. The attendee-app platforms don't touch the money side. It's most of your revenue.

What conference software costs. Per year. Really.

Here's the one that stings: Cvent's per-attendee fees alone — $7 to $12 a head — cost more on ONE 500-person conference than our entire year.

All figures from published price sheets, pricing-guide research, and verified customer reporting as of July 2026. Cvent, Bizzabo, EventMobi, RingCentral, and Sched are trademarks of their respective owners; PlanFlow Planner is not affiliated with any of them.

How big can it go?

Attendance is a number here — not a load.

Here is the architectural trick the enterprise platforms cannot copy without cannibalizing their per-attendee fees: your registration platform carries the attendees; we carry the operation. Ticket tiers are counts, not rows — a 3,200-person conference is three lines in your dashboard. The public program page is effectively static — twenty thousand readers is a quiet afternoon. Budgets, vendors, sponsors, and the run-of-show do not grow with headcount at all. When the event gets huge, the money and the wristbands stay somebody else's problem — by design — and the operation stays ours.

What scales today

Ticket-tier tracking, the program site, sponsors & money, budget, vendors, the agenda engine — none of it cares whether "sold" says 300 or 30,000.

What we're hardening next

Several doors at once already works: give each door-steward their own scoped check-in link. What's still coming is QR scan check-in from your ticket platform's export, room-capacity warnings, and a formal load test — the published ceiling rises as each lands. COMING SOON

Already living with Cvent?

Keep it for registration and the attendee app — and run the actual operation here. Their platform takes the badge line; ours takes the show.

Our published sweet spot today is 50–2,000 attendees, and the ceiling rises honestly as the hardening lands. If your event is a $10M production and you want to stress us — we would genuinely love that phone call.

Why this one wins

Five reasons the part-time organizer picks PlanFlow.

Useful the first afternoon

The plankit arrives pre-planned: a nine-month task arc and the day's schedule skeleton. Tell it in-person, virtual or hybrid and the whole kit forks — a virtual conference never sees the expo floor or booth services; a hybrid one gets the streaming platform as well. No implementation project, no training seats.

The printed program pack

Program board, per-room day sheets, per-track handouts — computed from your agenda, conflict-checked, print-ready.

Your committee works with you

Invite team members with a secure link scoped to their job — never a shared password.

The board report writes itself

Attendance by session, budget vs actual, sponsor revenue — one click after the event, because someone always asks.

The keynote ran long

Shift it 20 minutes — every downstream session slides, the pinned lunch holds, the day survives. This is the kind of thing that turns a scramble into a non-event.

Ask your conference anything. It drafts — you approve.

Names are scrubbed before anything leaves the Service, and every action is logged.

Priced on the page. Like software, not a contract.

Fair questions

Asked by every organizer.

Do you handle registration and payments?

No — on purpose. You already have Eventbrite or a registration platform you like (or your association mandates one). Paste its link into the plankit and keep your sold count up to date per tier — headcount, capacity and revenue roll up from there. We do the operations half those platforms ignore; rebuilding their half would just add fees.

Is there an attendee app?

There's something better for events our size: a fast public program page — tickets, day-by-day agenda, speaker bios, sponsors — that opens in any browser with nothing to install. The app platforms' own reviews complain about notification spam. Your attendees just want the schedule.

How big an event can this run?

The operations layer does not care — tiers are counts, the program page is static, budgets do not grow with headcount. A 20,000-person event's OPERATION runs here today. What we publish honestly is the check-in ceiling: 50–2,000 is the sweet spot until QR scan-in and multi-station door tooling land (coming soon). Bigger right now? Keep your registration platform on badge duty and run the show with us — and if you want to be the event that stress-tests the ceiling, call us. We mean it.

Can my committee work in it?

Yes — team member links with scoped access are included. Named seats on Business plans (3–5 members) SEATS — COMING SOON. Everyone gets exactly their slice; nobody gets the shared-password treatment. Links are revocable any time, and what each member can see is enforced server-side, not just hidden in the UI.

What does "founder pricing locked for life" mean?

Subscribe during the founder window and your rate never increases while you stay subscribed — even when list prices rise. It's our thank-you for betting early, and it's written, not winked.
